How to use each type of request

 

1.    Time Off Request

On web:

Step 1: Choose Requests.

Step 2: Choose Add request → Choose Time Off. 

 

Step 3: Update all necessary information → Create to complete. 

Onn app:

Step 1: On Tanca app, choose Requests.

Step 2: Choose Time off

Step 3: Update all necessary information → Send 

2.    Business Trip

On web:

Step 1: Choose Requests.

Step 2: Choose Add request → Choose Business Trip. 

 

Step 3: Update all necessary information → Create to complete. 

On app:

Step 1: On Tanca app, choose Requests.

Step 2: Choose Business Trip

Step 3: Update all necessary information → Send 

3.    Overtime

On web:

Step 1: Choose Requests.

Step 2: Choose Add request → Choose Overtime. 

 

On app:

Step 1: On Tanca app, choose Requests.

4.    Late/Soon

On web:

Step 1: Choose Requests.

5.    Request for Change time tracking

On web

Step 1: Choose Requests.

Step 3: Select Clock In time for the changed shift or Clock Out time for the changed shift → Create

Q&A

Question 1: Why can't I see all the requests from employees even though I have management rights? 

Answer: By default, only the administrator (admin root) can view and approve all requests. Other management groups, including non-admin managers, regional managers, and branch managers, will only see requests assigned to their approval process or those marked as “viewable by.”

Question 2: Why do new employees' requests go to multiple managers even though they are not my direct manager? 

Answer: If the employee’s approval process has not been set, the system will default to sending the request to all management groups in the system.

Question 3: Can employees delete a request that has already been approved? 

Answer: Employees can only delete requests that have not yet been approved. Once a request is approved, only the manager who approved the request or the administrator (admin root) can delete it.

Question 4: Do I need to clock in/out when submitting a business trip request? 

Answer: No, you do not need to clock in/out when submitting a business trip request.

Question 5: If an employee is in two approval processes, how does the system handle it? 

Answer: If an employee is part of two approval processes, the system will prioritize the process that appears first in the order.

Question 6: Are late arrival/early departure requests counted as working hours? 

Answer: The system offers two methods for handling this situation: counting or not counting the hours. The choice depends on the company’s operational needs.

Question 7: If the approval process includes multiple levels, does the system send the request to each level sequentially or all at once? Answer: The system will send the request sequentially to each level. For example, after level 1 approves, the request will be sent to level 2, and so on.

Question 8: Why can't I select a shift when requesting leave? 

Answer: Check the timesheet to ensure the employee has a designated shift. A shift must be assigned before a leave request can be submitted.

Question 9: If I delete a shift that has an approved leave request, will the leave still be counted? 

Answer: If you delete a shift with an approved leave request, the leave will no longer appear on the timesheet. However, the system will still deduct the leave from the employee's balance because the request was approved.

Question 10: Why does the system report incorrect time slots when an employee requests a change in work hours? 

Answer: Check the configured time slots for clocking in/out. If the request falls outside these time slots, the system will not allow the request to be submitted.
